Email Protocol

Emails coming from Harvesters staff members should be the standard white template and should not have backgrounds or images.
 
Signature
Your email signature will be created and updated by Communications and IT.
 
Out-of-office message
Please follow the format below, using the Arial 10-point font in black:
 
Template:
I will be out of the office until (Day), (Date), and will respond to your email when I return. If you need assistance before I return, please contact (Name of Backup) at (email address and phone).
(Name)
(Title)
 
Example:
I will be out of the office until Wednesday, August 8, and will respond to your email when I return. If you need assistance before I return, please contact Joanna Sebelien at 816.929.3011 or jsebelien@harvesters.org.

Voicemail Protocol

Voicemail messages should be recorded in the following format:

 

Template:

Hi, this is (Name), (Title) at Harvesters. I can’t take your call right now, but if you leave a message I’ll get back to you as soon as I can. Thanks.

 

Example:

Hi, this is Sarah Biles, Director of Communications at Harvesters. I can’t take your call right now, but if you leave a message I’ll get back to you as soon as I can. Thanks.

 

If you are going to be out of the office a full day or more, please use the following out-of-office voicemail format:

 

Template:

Hi, this is (Name), (Title) for Harvesters. I am out of the office until (Day of the Week), (Date). Please leave a message, and I’ll get back to you when I return to the office. If you need assistance before I return, please contact (Name of Backup) at (email address and phone).

 

Example:

Hi, this is Sarah Biles, Director of Communications at Harvesters. I am out of the office until Friday, August 5. Please leave a message, and I’ll get back to you when I return to the office.
